Take That Dysfunctional Process in Your Business from “TO-DO” To DONE
You Already Know What's Broken. Let's Actually Fix It.
You Built a Successful Business. Not an IT Department.
You started a business to do the work you're good at, serve the customers you care about, and be your own boss. Somewhere along the way, you also became the person responsible for every process, every tooling decision, and every question nobody else can answer.
You don't need a lecture on the benefits of AI. You need specific problems solved.
The Problem Hiding on Your Mental To-Do List
On the surface, it's a specific, nagging problem. Missed opportunities from after-hours calls going to voicemail. Staff asking the same questions every week. Customers who can't find answers without calling.
Underneath, it's the feeling that you're the bottleneck. You know things aren’t functioning the way they should be, and you know this needs to change. But it's been sitting in "TO-DO" status for months, and every week it sits there is a nagging reminder that something you know how to fix still isn't fixed.
And honestly, it shouldn't be this hard. A business owner shouldn't need to also be an operations expert and a systems administrator to run a healthy business.
Your Guide
I’m Shaun Martin. I've worked in tech for over 30 years and spent more than 15 years in leadership. I've watched plenty of organizations choose the wrong tool for the wrong reasons, and plenty more choose the right tool and roll it out so poorly that nobody uses it.
I’ve also seen countless teams continue to use dysfunctional processes — if you can even call them that — to the detriment of everyone’s productivity and their mental health.
I get it: you don't have time for a science project. You want the problem gone.
That’s why I partner with you on tooling implementation from start to finish. Whether that's an AI call-answering service that picks up when you can't, building a bespoke knowledge base for customers, or a complete overhaul of a critical workflow, we get things set up, test them, and train your team to run the new playbook. If you don't know which tooling to use, I'll help you choose the right fit.
The Plan
Step 1: Scope it together. We start with a scoping call. We agree on exactly what the finished implementation will do, and that agreement becomes the finish line.
Step 2: Get a clear quote. After research, you get a quote tied to well-defined deliverables, not billable hours. We review it with you and any other stakeholders so everyone who has a say gets one.
Step 3: I build, you weigh in. I implement and test. You and your team provide the appropriate insight and access, explain how things really work, and make the calls only you can make.
Step 4: Your team takes the wheel. Operational training gets your team running the new process day to day. Extended support or enhancements can be added at the outset or any time along the way.
Be the Hero Your Company Deserves
In every good story, the hero does the important part, which is making the hard decisions no one else can. This story is no different.
The success of any project like this hinges on the inside knowledge of you and your team. Here's what that looks like in practice:
Opening the doors. Providing access to information and systems — software or otherwise — we're using, promptly.
Telling it like it is. Explaining how work really gets done day to day, including the workarounds and exceptions that never made it into a manual.
Calling the shots. When records conflict — for example, two people disagree on steps in the pricing estimation process — you or your team decide which one is the source of truth.
I'll guide you through every one of these steps and make sure your involvement disrupts your day-to-day as little as possible. But I won't pretend this can be done without involvement from the people inside the business. This is a partnership, and partnerships only work when both sides show up.
The good news here is two-fold:
I have a knack for sizing/estimating how much time someone on your side will need to commit to ensuring a successful implementation
Your quote will include at least two execution options: One where I do the heavy lifting while your team supports; and a more cost-conscious option where I direct, guide, and support you or a staff member through every step of implementation.
What's at Stake
I think you know that if nothing changes, the missed calls keep piling up. The repetitive questions keep landing on you. The duct-taped “process” you fell into continues to waste valuable bandwidth while frustrating everyone, and your team becomes increasingly cynical of things ever getting better.
What Success Looks Like
A problem that's actually solved. A tool your team actually uses. One less thing that has to run through you.
Pricing
For Custom Implementations, Prices are quoted per project after scoping. You know the fixed project cost up front and never watch a meter run. Any variable expenditure items (ex: Tooling subscriptions, Travel if applicable) are identified ahead of time, so there are no surprises.
Payment terms are also designed to fit the execution options provided as well as your desired timeline for implementation.
FAQ
Do I need to know which tool I want?
No. Some owners arrive with tooling they’ve already chosen; others don't. Either works.
Will my team be able to run it without you when we’re done?
That's the purpose of operational training. If you'd like ongoing help, extended support is available.
What if we want to add more later?
Enhancements can be discussed at any point.
Take the First Step
Book a scoping call. We'll talk through the problem, what "done" looks like, and what it will take from both of us to get there.
